How to number invoices for FBR digital invoicing

How to number invoices for FBR digital invoicing: keeping numbers unique and in sequence, why duplicates are rejected, and how notes reference an original invoice.

A small field that refuses whole invoices

The invoice number looks like the least important field on the form. Under digital invoicing it is one of the easiest to get wrong in a way that stops an invoice being accepted — because the one rule it has to obey is uniqueness, and spreadsheets and busy afternoons are both very good at producing repeats.

Invoice numbers must be unique. A number already filed is refused, which is why numbering is worth getting right up front.

Every number, used once

An invoice number identifies one invoice. File a number that has already been accepted and the second one is refused — not because the invoice is wrong, but because the number is taken. The fix is never to reuse a number, even for a corrected version of the same sale.

In sequence, and readable

Numbers do not have to be sequential to be valid, but a simple sequence is the easiest way to guarantee uniqueness and to keep your own records legible. A common, sturdy pattern is a prefix, a year and a running number — for example a series that reads plainly in a list and never has to be reset mid-year. Whatever scheme you choose, apply it consistently: mixing two schemes is how accidental duplicates appear.

Credit and debit notes reference the original

A credit or debit note is not a fresh, unrelated invoice — it adjusts an earlier one, and it has to point back to it. Two things follow from that. The note needs its own unique number like any document, and the invoice it references has to be one FBR has actually accepted. A note that references an invoice that was never accepted has nothing valid to attach to.

How Bizio Invoicing helps

Bizio Invoicing keeps every invoice you file with its number and FBR's response, so the record of which numbers are already used is simply your submission history — not a separate list to maintain by hand. When you file a credit or debit note, the invoice it references is chosen from invoices that were actually accepted, which removes the most common way notes are refused.

Bizio Invoicing is an independent software provider. It is not affiliated with, endorsed by, or an official service of the Federal Board of Revenue (FBR) or PRAL. Numbering conventions and document rules are set by FBR and can change; verify the current requirements against FBR's own documentation.
